A 12-unit adjustment can look harmless until it hits a hero ASIN three times in one month. The stock disappears from sellable inventory, the reimbursement either never arrives or lands below cost, and your PPC campaigns keep paying to defend rank with fewer units available. This Amazon reimbursement guide is for brands that treat FBA deductions as a margin-control issue, not an accounting tidy-up.
For US FBA sellers, Amazon has automated more reimbursements, but automation is not the same as complete recovery. You still need to reconcile the physical event, the financial transaction, and the reimbursement value. If any one of those three records does not match, Amazon keeps the difference until you challenge it.
What Amazon should reimburse – and what it will not
Amazon may reimburse inventory lost or damaged while it is under FBA control, eligible customer-return units that do not come back in sellable condition, and inventory affected during inbound or removal processes. The operative word is may. The cause code, inventory ownership, shipment status, and claim window determine whether the event is eligible.
A customer who receives a refund is not proof that you are owed money. First establish whether Amazon received the return, whether the unit was marked sellable, unsellable, or missing, and whether a reimbursement was posted. In Seller Central, start in Reports > Fulfillment > FBA Customer Returns and compare the `return-date`, `sku`, `fnsku`, `quantity`, and disposition fields against the order refund.
For fulfillment-center movements, download Reports > Fulfillment > Inventory Adjustments. The key fields are `date`, `sku`, `fnsku`, `quantity`, `reason`, and `fulfillment-center-id`. A negative adjustment with a `Lost` or `Damaged` reason is the start of an investigation, not a completed claim. Then check Reports > Fulfillment > Reimbursements for the same SKU, quantity, and a reimbursement date after the event.
Do not use the sales dashboard to do this work. It reports revenue, not custody. A $32 sale can conceal a $9 reimbursement, a $0 reimbursement, or an adjustment that has not yet reached Payments.
Amazon reimbursement guide: reconcile the three records
Build a monthly reconciliation at SKU level, ideally no later than the fifth business day after month-end. Use the `fnsku`, not just the SKU, where a listing has been relabeled or more than one seller could have similar catalog data. The FNSKU connects your physical unit to Amazon’s movement records.
Your worksheet needs three dates: the inventory event date, the reimbursement date, and the date you submitted a case. Add four amounts: units lost or damaged, units reimbursed, reimbursement dollars, and your documented manufacturing cost per unit. That creates an exception list rather than a vague feeling that FBA is leaking stock.
A useful formula is:
`Expected reimbursement = eligible units × approved manufacturing cost per unit`
Then calculate the gap between expected and received reimbursement. Keep shipping revenue, referral fees, PPC spend, and VAT or sales tax out of this calculation. An FBA inventory reimbursement is not a replacement customer order. It is compensation for the inventory Amazon accepted into its network.
In Payments > Transaction View, filter by the relevant date range and search the transaction description for reimbursement activity. Export the transaction data and match it to your FBA Reimbursements report. Payment timing can lag the inventory event, which is why checking only the current 14-day disbursement period misses claims.
Use the right claim window
Amazon’s US FBA claim windows are short enough to punish quarterly cleanups. For fulfillment-center loss or damage, claims generally need to be filed within 60 days of the reported event. For customer-return reimbursement issues, the claim period is generally from 60 to 120 days after the customer refund or replacement. For inbound shipment and removal claims, the typical window is 15 to 75 days after delivery or shipment date.
Those windows have changed before and can differ by marketplace or event type. Before opening a case, check the current FBA inventory reimbursement policy shown in your US Seller Central account. The operational rule is simpler: review events every 30 days, then you are never trying to reconstruct a 119-day-old return from incomplete records.
The 2025 change that affects claim value
On March 10, 2025, Amazon changed how it calculates many US FBA lost and damaged inventory reimbursements. Instead of basing reimbursement value on the product’s selling price, Amazon moved to a manufacturing-cost basis for eligible inventory lost or damaged before a customer order.
That shift matters most to brands with premium retail pricing, heavy PPC investment, or A+ Content that has raised conversion. A $45 skincare set may win the click from a category giant, but a reimbursement is not designed to repay the retail price, your ACoS, or the rank you lost while the unit was unavailable. It is tied to what it cost to make the unit.
Use the Manage Your Manufacturing Cost page in Seller Central to review the amount Amazon holds for each SKU. Amazon may estimate a cost if you do not provide one. Do not accept an estimate simply because it appears in the system. Submit a supportable unit manufacturing cost and retain the evidence behind it.
For a private-label product, that evidence normally means a supplier invoice or purchase order showing the product, quantity, currency, and per-unit manufacturing cost. For a bundle, document the cost of every component, assembly, and packaging item that is part of the FBA unit. A 3-pack entered as though it were one single unit creates an avoidable reimbursement shortfall.
Be disciplined about what belongs in the figure. Manufacturing cost can include the product and the packaging required to create the sellable unit. It is not a place to load in PPC, agency fees, Shopify overhead, or a target gross margin. Inflating the value invites rejection; leaving it blank gives Amazon’s estimate control of your economics.
How to open a case that gets answered
When your reconciliation finds a genuine gap, open a case through Seller Central support under the FBA inventory or reimbursement workflow available to your account. Lead with the transaction, not the story. Amazon support agents can act on a clean evidence trail far faster than on a message saying inventory is missing.
State the FNSKU, SKU, ASIN, quantity, event date, adjustment reason, shipment ID or order ID where relevant, and the reimbursement amount expected. Attach the row from the Inventory Adjustments report and the matching row, or absence of a row, from the FBA Reimbursements report. If the dispute is about value, include the manufacturing-cost evidence and the cost currently shown in Manage Your Manufacturing Cost.
Keep the request to one event type. Do not combine a missing inbound carton, 14 customer returns, and a removal-order discrepancy into one case. Separate cases make it easier to track the case ID, response deadline, and Amazon’s final determination. They also prevent a support agent from resolving one line item and closing a larger unresolved claim.
For inbound discrepancies, use the shipment ID from Shipping Queue and compare the shipped quantity, received quantity, and any research result. For removal disputes, retain the removal order ID, carrier tracking, and the removal shipment date. A claim without an identifier is often a request for Amazon to investigate its entire network from a vague SKU reference. That is not a winning position.
Stop reimbursements becoming a monthly scavenger hunt
The objective is not to create a spreadsheet that finds $18 once. It is to identify the operational source of recurring loss. If one ASIN repeatedly shows `Damaged` adjustments, inspect the prep specification, polybagging, carton fill, expiration-date handling, and whether the product is arriving with fragile components exposed. If customer returns spike, compare the return reason with the detail page, variation setup, and the product customers actually receive.
This is where reimbursement work touches growth. A broken variation can send ad traffic to the wrong size. A stockout can erase organic momentum. A damaged unit can be reimbursed at manufacturing cost while the lost conversion rate and BSR recovery cost stay with you. Recover the cash, then fix the condition creating the claim.
This week, download the last 60 days of Inventory Adjustments, FBA Reimbursements, and FBA Customer Returns reports for your top 20 FBA SKUs. Match every negative adjustment to a reimbursement or a live case, and review the manufacturing-cost figure on every SKU with more than 10 units adjusted. That is where margin stops quietly leaking back to Amazon.
